Data Entry Typing Practice Guide

Data entry is its own skill. It's less about typing prose quickly and more about moving structured information accurately from one place to another.
Build good form habits
- Use Tab to move between fields and Enter to submit — avoid the mouse.
- Read the whole value before typing it, especially for reference numbers.
- Keep your eyes on the source, not the form.
Watch the risky fields
Reference numbers, postcodes and amounts are where most data entry errors happen. They don't "read" like words, so your brain can't autocorrect them. Chunk them: read INV-284931 as "INV, 284, 931".
Know your units
Data entry speed is usually measured in keystrokes per hour (KPH). Read What is KPH? for how it's calculated.
A practice routine
- Warm up with a 1-minute typing test.
- Do two 3-minute Data Entry practice sessions.
- Finish with a 10-Key practice session for numeric speed.
- Check field accuracy in your results — aim for 98% or higher before pushing speed.
Accuracy first
A data entry clerk who is 20% faster but makes twice as many mistakes creates more work than they save. Employers know this, so accuracy targets for data entry are usually high.
